Permissions, Networks, Units and Teams FAQ's

  • What are Units and Teams?

You can use units and teams to further define the organizational structure of your company. Units are the first subdivision level of a company, and teams are the second level. Please note, however, that you can define teams for a company without defining units.

Once you have a structure in place, you can define access permissions for specific units and teams. For example, if you have a sales team and a product development team, you might choose to only grant access to Doorbell to the sales team. This makes it easy to control the type of information that different teams have access to.

  • What are permissions and how do they work?

Permissions allow you to restrict who in your Doorbell network has access to what information. It works by utilizing the separate units and teams you have created and allowing access to specific information as you see fit.

  • Do I need to use Units and Teams?

No. You can keep it really simple and use the default setup. If you put all colleagues into the default team, it is easy to give them access to applications such as Doorbell and share all company contact lists.

  • I understand Teams, by why Units?

Units make sense for larger organizations. For instance, if your company has North American and European offices, you can keep them separate by establishing two units. Each unit can have several teams, such as Sales and Production. The advantage of dividing your company in this way is that the system will not automatically share each units' data in applications such as Doorbell -- keeping the units' contact lists clear and separate! Note that if someone is a member of teams in both units, they will have access to information in both units.

  • What happens to my company’s Doorbell items (tasks, contacts, etc) when I decide to add Units to my organizational structure?

Before you add Units, the default Permission setting on all items is to your entire company (that is, everyone can see what is added). Once Units are added, the default Permission setting switches to Permission by Unit. So, when a new contact or task is created, Doorbell will ask which Unit the item belongs to. Once allocated to a Unit, only members of a Unit will be able to see those items.
